Advisory Board Minutes: October 2026

1.       Homework Review: Brainstorm a Christmas/Holiday movie for December social event. Must be G, PG, or PG-13. Ideas: Home Alone, Muppet Christmas Carol, Spongebob Christmas, Original Grinch, Charlie Brown Christmas

2.       Rink Trunk or Treat Thank you to all who volunteered! The Haunted House was a hit! For concession sales, we made $185 toward the Y.E.S. scholarship fund.

3.       Grace Guest House Meal for October Homework: Come up with a meal for 2027 Grace Guest. I’d like to plan out at least the first six months of 2027. Include protein, veggie, side, & dessert

Volunteers also suggested cooking a Thanksgiving dinner there next year. We could potentially do this on Veteran’s Day next year.  Alicia will look into it.

4.       Recognition Event Date – We discussed potentially moving it to spring, but board unanimously wanted to keep it in winter (Jan or Feb).   Date has not been selected yet. We don’t want to conflict with big events at the schools. The past few years it has conflicted with the Clevehill MS dance and we don’t want to do it again, but the dance is not listed on the district calendar. Potential Dates: Fri Jan 8, 15, or 30. If there’s a date that does not work for you, please let me know. 

Food Decided to go with Wegmans catering again this year since it offers the most variety.  Sub trays, mozz sticks, boneless wings, sushi (king salmon, California roll, crab), Mac and Cheese. Ice cream cake for dessert. Gifts Top Volunteer Ideas: Pajama Pants, Owala All Volunteers: Candy Activity Suggested a bounce house then looked at the Pigbelly website to see if there were other ideas. Pigbelly  has been emailed for prices and availability for Dizzy X, Kapow, Bubble Soccer. Goofy Awards HOMEWORK: Brainstorm ideas for a goofy award – something positive and/or related to something that happened this year! Each board member should come with an idea for at least 3-5 volunteers Include Advisory Board, active volunteers, YES staff…. Audri, Cole, Giada, Maddie, Maddy, Ella, GigiNick, Olivia, Susetta, Roselyn, Mateo, Vanessa, Abby, Norah, Lucy, Audrey J, Chris, Lily, Dakota, Corbin, Gio, Erik, Kendall, Jocelyn, Luca N, Luca D, Iver, Maya, Micah, Mila, Penelope, Sophia, AshlynAlicia, Jessie, Anastasia, Courtney Year In Review Audri suggested that we take some video clips throughout the year and compile into a video. For this year, let’s collect pictures. Alicia will send a Remind to volunteers to share pictures. If you have any photos that you’d like to include in the slideshow/video, please text Alicia by Nov 30!

5.       Special Event Brainstorm Y.E.S. can plan a BIG event that’s ours every year – Monster Mayhem, BBQ with the Bunny – but not around holidays that we already celebrate.Some ideas: A special event for summer day camp to participate in, St Patrick’s Day, Dyngus Day Party, Eid, Multi-Cultural Event (mini Epcot), April Fools Day Event – Fun House, Clowns, etc

6.       Christmas Party Social We’ll have pizza, wings, snacks, pop.  For crafts, there are clay kits & ramen bowls.

7.       Advisory Board Holiday Celebration The board would love to do an Escape Room again or snow tubing as a holiday team building event. More details to come!

8.       Reminder: 2027 AB Applications due Nov 1

9.       Open to Discussion - Y.E.S. will be purchasing some new costumes for the holiday events. Board agreed on the polar bear (just add a Santa hat) and reindeer.  Y.E.S. will also be purchasing an inflatable balloon dog costume for special events/community events.  - 2027 Volunteer of the Month Gifts: suggestions were Chik-fil-a & Tim Horton’s.  In 2026, Y.E.S. gave our Target gift cards.
