Advisory Board Minutes - Feb 2026

Advisory Board Meeting Agenda Mon Feb 23, 2026 6:00 – 8:00 pm

Attendance: Present: Giada D, Gigi, Ella G, Audri M, Maddy P, Michaela R   Excused: Cole (Stage Crew), Maddie R (sick) Staff: Alicia, Jessie

1.      Introductions & Team Building

·         During AB meeting, Jessie and other volunteers returned empty cans and received $12.

2.      Advisory Board Expectations

·         New folders were passed out – Giada took Cole’s folder and Maddy took Maddie’s folder. Please make sure you bring this to every meeting.  Please insert meeting minutes after every meeting and use the blank pages for homework!

·         Meetings & Orientation Sessions

·         Volunteers have been assigned Meeting facilitator (runs meetings), secretary (will take notes), and orientation leader.  If you need to change dates, please let me know and we’ll swap.  If you are assigned to be one of the leaders that month, please arrive at 5:45 pm

·         Be prepared to tell the new volunteers a little bit about yourself – school, grade, other hobbies/interests/clubs, how long you’ve been a YES volunteer, why you joined YES, and your favorite YES event

·         Make sure Homework is done each month and recorded in folder.

·         Activity Minimums – AB should attend at least 2 events per month. 

·         Zero Tolerance Policy – A reminder that AB members are leaders

·         AB Exclusive Activities

·         Butter Lamb-apalooza – Thurs April 2, 5:15 – 7:45 pm - AB Members will be helping teach participants how to create the butter lambs.  If you aren’t able to attend, please let me know ASAP. 

·         Grace Guest House Thurs Apr 9 from 1:30 – 6:30 pm - While we were at Grace Guest on Tuesday, they asked if we’d like to come and make homemade pierogi again this yearWe’ll make pierogi for them to freeze and cook dinner before we leave! Please let me know if you can make it!

·         Teambuilding Activity – Rope Course, Jackbox Game Night, Karaoke, Terra House cooking class. We can discuss more at future meeting.

 

3.      Summer Activity Themes

·         Preschool – Due to low enroll over the past two year, we will incorporate all ages into the youth event. Include ages 2-10 (with parent)

·         Youth – Potential Themes: Summer Picnic (cookout, camping activities), Marvel/DC/Superhero, Carnival (games & activities), Safari, Toy Story, Mario, Frozen, Hoppers, Generic Movie Theme

·         HOMEWORK: Pick a theme from above or a new one that you came up with. Think of clever name and at least one themed activity or craft to do at the event.

4.      Workshops & Social Planning for the Year

·         Murder Mystery Party – We’re going to work with Anastasia to put this together for a May social. Includes dressing up in themed apparel and we’ll provide themes snacks/apps.  At the March meeting, we’ll pick a theme.

·         Summer Social – Our first choice will be to do a “Movie Madness” pool party exclusively for Y.E.S. volunteers at Dingens Pool.  Arrive at 8:30 pm, movie starts at 8:45 pm.  Pizza, pop & a GLOW necklace included. Bring a float or use a town one. Homework: Bring one movie suggestion! Must be G, PG, or PG-13 and available on DVD/Blu-ray.

·         If we can’t do the movie madness, other ideas:

·         Pool Party/Picnic at Dingens with a water war

·         Seabreeze (looked into this and there is a chaperone policy 5 teens to 1 adults 21+)

·         Waldameer   Amusement Park ($42 per person)

·         Audri suggest Tiki Boats – very cool idea but EXPENSIVE - $43 per person for 90 min

5.      Open to Discussion

·         We discussed how some events fill up very fast.  We will be stricter with no-shows so people who don’t come don’t take up spots for others.

·         AB wants updated photos in the orientation slideshow so AB members will be snapping some pictures at events. Please be sure not to take photos of nursing residents. If children are in the photos, make sure parents give consent. There are a few volunteers who are not allowed to be photographed for please respectful if people don’t want to be or can’t be in photos.
