Advisory Board Meeting Minutes July 28, 2025    6:00 – 8:00 pm

Present Board Members: Cole D, Giada D, Audri M, Maddie R, Maddy P Staff: Alicia, Jessie

1.      New Volunteer Orientation

4.      Fall Craft Nights Brainstorming Tues Oct 21 - The WITCHING Hour Activities will incorporate Hocus Pocus, Wicked, villains

Baking Cookies with Candy Bar toppings, painting trick or treat bags, DIY Witches Hat headband

Tues Nov 18 - PIE is the Limit

Making mini dessert pies & pizza pies with crescent wraps, turkey napkin holder, turkey masks, cornucopias

 

5.      Fall Social: Outdoor Movie Night Fri Sept 26 – 6:00 – 8:30 pm @ Town Park Mega Shelter Raindate: Fri Oct 3Movie: Hocus Pocus We’ll be serving pizza, popcorn, drinks. Everyone can bring chairs and blankets.

 

6.      Fall Workshop: Career Day Tues Sept 30 – 6:00 – 8:00 pm @ Alexander We’ll have professionals from a variety of career fields come and talk about what they do. I’ve gotten a ton of interest so we’ll do a first one in September and another in January with different careers. We’ll have a Q&A panel and volunteers can ask questions too.

So far, we have a social worker, medical tech, teacher, principal, and banking management professional. More to come! Are there any specific careers that you’d like to know more about? Let me know!


7.      Trunk or Treat TR & Ice Rink Trunk of Treat will be EXCLUSIVE to Advisory Board members! These events will NOT be listed in the Y.E.S. newsletter.  The TR Trunk or Treat will be in the newsletter for volunteers to sign up for face painting and balloons. AB members will arrive prior to the event to help set up and hand out candy during the event. Theme: Toy Story Everyone is welcome to dress up according to the theme! Fri Oct 17 – 5:00 – 8:00 pm @ TR Elementary  (Back parking lot will be closed for cards. Drop off Parker Ave & Lot Entrance)

 

Sat Oct 25 – 5:00 – 8:00 pm @ Rec Center/Ice Rink Please let me know by Fri Oct 10 if you’re able to attend! 

 


8.      Volunteer of the Month Gift Ideas The majority of volunteers liked the idea of Amazon, Starbucks, and Tim Horton’s Gift Cards

 

9.      2026 AB Recruitment We went through the list of volunteers to determine which volunteers were the most active with the program and could commit to the board for next year.  The current board will remain in place for a two-year term.  At your upcoming events, please talk to these leaders and encourage them to apply for the board (or to at least attend a board meeting to see what it’s all about).


10.  Library Event Ideas Due to low enrollment, we are no longer running craft nights at the Reinstein Library. We’d like to try a different activity. We brainstormed a few idea – Trading Card Night, Game Night, Bingo Night. Are there any other ideas we could try? 

11.  Recognition Event 

a.      “Goofy Awards” – Superlatives! The AB likes the idea for giving out these types of awards (ie Most Likely to Succeed, Best Dressed, Funniest, Most Athletic, etc.).  Start thinking of different ideas for awards and who would receive them.

b.      Brainstorm type of special event Last year was Family Feud and the year prior was trivia night. Would we like to do something similar or something else? Stick to a Friday night in January or February? Or move it do December and have a holiday party? Another idea was indoor field day.

HOMEWORK: If we decide to move recognition up to December, we’ll need to make a plan for activity, food, awards soon! Please brainstorm ideas for an activity, date, theme, top volunteer gifts! (We used to do a themed awards night – we do not have to, but it might be fun).

Please make sure to bring your AB folders to each meeting with your agendas and meeting minutes.  Make sure you wear your Pink nametags to events so other volunteers can recognize you as a AB member. Replacement badges will be $5.
