
Advisory Board Meeting January 6, 20256:45 – 8:00 pm

1. Introductions & Team Building
· This group definitely knows each other well, but the meeting kicked off with some “get to know you” questions and conversation.
2. New Volunteer Orientation Sessions
· Each AB Meeting will overlap with New Volunteer Orientation
· AB members arrived as orientation was wrapping up and got to get introduced to the new Y.E.S. volunteers.
· AB will sign up to attend 2-3 orientations per year
· On Orientation months, please arrive at Alexander at 5:45 pm
· To start off orientation, you’ll be introduced to the group. Be prepared to tell the new volunteers a little bit about yourself – school, grade, other hobbies/interests/clubs, how long you’ve been a YES volunteer, why you joined YES, and your favorite YES event
· AB member will also present a portion of orientation. Members were given a handout with orientation slides. The two slides – with intro and presentation are circled.
· AB members will be presenting the portion talking about what they get most out of the Y.E.S. program. Be prepared to elaborate on two or three bullet points, giving examples on how Y.E.S. has impacted you. Examples were given on the sheet, but feel free to make it personal to your experience.
· An orientation sign-up sheet was handed out, asking each member to select an orientation. Some volunteers asked if they could attend all of them. If members attend multiple, they can meet the group and help with other Y.E.S. planning during the meeting (ie. Fold and stuff newsletters, prep for crafts, etc)

3. Volunteer Recognition Event
· Fri Jan 31 – 6:00 – 8:00 pm – Should we keep the date?????
· Due to dance at Clevehill Middle (and with so many active volunteers from Clevehill) we took a vote about which date we should hold the recognition event.
· Majority chose to move it to Fri Jan 24 to avoid the date conflict
· Date changes have been made in Sign Up Genius and invite has been sent out via email and Remind
· AB discussed food options for recognition event
· It was decided to get a Sundae bar for dessert
· We went back and forth on food options – they didn’t want a taco bar this year and decided to get an “appetizer buffet” We’ll be ordering an assortment of snack food, including sushi (with vegetarian options), chicken fingers, sub tray, cheese/pepperoni, etc. Drinks: coke, diet, sprite, water, Shirley temples, fruit punch
4. “Goofy” Awards for Volunteer Recognition
· We’ll be awarding funny awards to all of the AB members and some of the top volunteers to recap the year.
5. Brainstorm Workshops, Socials, New Events
· Unanimous decision – we’d like to do hibachi again over Spring Break! We’ll book again for lunch at Fuji Grill on Transit Rd.

6. Homework: Brainstorm a few ideas for themes for July & August Youth & Preschool Activities. You can come up with just theme ideas or if you have activity ideas, we’d love to hear that too! Here’s what we’ve done in previous years:
